Notarize from a Smokeball matter and keep the result on it.

Choose the matter when you order a notarization and the signer and documents come from it. A commissioned notary verifies the signer on recorded video, 24/7. The sealed PDF files itself back to the matter and the fee posts as a billable entry. Nothing to download, re-upload, email back, or re-key.

Live today — no waiting list.

In one line

Pick a matter. Confirm the signer. The notarized PDF comes back to the matter on its own, with the cost posted as an entry you can bill.

$25 a session. No subscription, no per-seat fee, nothing to pay for connecting.

What the connection does.

11 things, all of them shipped. Run end to end on a real Smokeball matter: a $25 expense and a notarized PDF landed on it, and Smokeball's own webhook confirmed the expense.

Pick the matter, not a form

When you order a notarization, a matter search appears in the request. Type a client or a matter number and choose it. The search runs as you, with your own Smokeball access, over your own open matters — so you only ever see matters you could already open in Smokeball.

Signers come from the matter

The people on the matter are offered as the signer. Choose one and their name, email and phone fill in. No retyping a client's details into a second system and no mistyped email address.

The document comes with it

Documents already filed on the matter can be attached to the request directly. You do not download a file to your desktop and upload it again, and a document cannot be attached twice by a second click.

The notarized PDF files itself back

When the session finishes, the sealed document is filed into the same matter as “Original Name - Notarized”, beside the original. Nobody emails it to anyone and nobody re-files it. It is where your next search for it will look.

The fee lands as a billable entry

The notarization fee is posted to the matter as a billable entry called “Notarization”, dated the day the session completed — ready for the next invoice rather than something to re-key from a receipt. By default it is a hard-cost expense, and you can file it under one of your own activity codes.

Expense or fixed fee — your choice

Firms that bill a notarization as their own service rather than passing a cost through can switch the entry to a fixed fee. It is a setting on each connected account, it only affects sessions that finish after you change it, and nothing already posted is ever converted.

A note on the matter

When a notarization completes, a note records what was notarized, the signer's name, the date and the session reference. Never contact details, never identity-check results. It is a switch on your account, on by default.

Follow-up tasks, if you want them

A to-do to review the notarized document, and one if we cannot confirm a fee was added. Off by default, because tasks land in people's lists; switch them on from your account.

Scheduled sessions on the calendar

A scheduled session gets a 30-minute entry at the booked time on the calendar of the person who linked the matter. Moving or cancelling a booking later does not change an entry already made.

Smokeball confirms every post

Notaron subscribes to Smokeball's own webhooks, so the expense or fee is marked confirmed only when Smokeball says it was created. A post whose outcome is unknown is never retried, because Smokeball offers no way to make a repeat safe, and a firm billed twice is worse than one line to check.

Authorize once, revoke any time

A standard OAuth authorization on Smokeball's own screen. Notaron never sees or stores your Smokeball password; access tokens are encrypted and refresh themselves; disconnecting deletes them. Throttling by Smokeball is respected with backoff, not hammered.

And what it does not.

4 things people most often assume an integration does. None of them is built yet, so none is implied anywhere above.

  • There is no button inside Smokeball. You start from Notaron and pick the matter; a Smokeball-side action or ribbon button depends on Smokeball enabling it for us.
  • An existing request cannot be attached to a matter after the fact from the screen — pick the matter when you create the request.
  • No time entry is created, and nothing on the matter's own fields or its contacts is edited. A note, tasks, calendar entries and the fee are things added to the matter, never changes to what is already there.
  • Nothing is sent to your client through Smokeball's client portal. The signer is contacted by Notaron, as on any other request.

If one of these is what stands between you and using it, tell us — what firms ask for is what gets built next. In the meantime the REST API and webhooks are available today and can do this from your own side.

How a firm connects.

Connect from your Notaron dashboard

Sign up or sign in to Notaron, open Integrations, and choose Connect Smokeball. Each Smokeball user connects their own account.

Authorize in Smokeball

You are sent to Smokeball's own sign-in screen. Signing in there returns you to Notaron with the account connected.

Create a request and choose the matter

In the New Request form, search for the matter. Choose a signer from the matter's contacts and attach a document that is already filed on it.

The notarization runs as usual

Identity verification, a recorded video session with a commissioned notary, and a sealed PDF. This part is identical to a request made from the website.

Collect the result from the matter

The notarized PDF appears on the matter and the fee posts as a billable entry. There is no step here for you.

What firms bring us.

Whether a document is eligible for remote notarization depends on the document and on the signer's state. The flow checks both before anyone pays.

  • Affidavits and sworn statements
  • Powers of attorney
  • Estate planning documents and trusts
  • Real estate and property documents
  • Litigation verifications and declarations
  • Settlement and release agreements
  • Parental consent and travel forms
  • Documents being prepared for apostille or international use

Questions.

How do I connect Smokeball?

Sign up or sign in to Notaron, open Integrations in your dashboard and choose Connect Smokeball. Each Smokeball user connects their own account, on Smokeball's own sign-in screen. Nothing to request and nothing for us to switch on.

Is this a Smokeball-approved app?

Yes. Notaron is an approved Smokeball vendor. We are an independent third-party provider, and the connection uses Smokeball's public developer API.

What permissions will the authorization screen ask for?

Read on matters, contacts and documents; write on matters and documents; permission to add an expense or a fixed fee, and read on your activity codes so you can file it under one; permission to add a note, tasks and calendar entries; permission to subscribe to the webhooks that confirm what we posted; and read on your staff list. Each one maps to a step you can see: matters and contacts to fill in the request, documents to bring the file in and file the notarized one back, expenses and fees to post the cost, notes, tasks and calendar entries for the extras you switch on, webhooks to confirm it. Notaron does not ask for your bills, trust accounting or communications. Smokeball fixes permissions at the moment you authorize, so if one is added later you are asked to reconnect.

What does Notaron actually read from my Smokeball account?

Only what you ask for in the request: the matters your own search returns, the people on the matter you chose, and the documents you attach. Nothing is read on a schedule or in the background for any other purpose. Writes are for what you can see on the matter afterwards: the notarized PDF, the fee as an expense or fixed fee, and, if you leave them on, a note, tasks and calendar entries, plus the webhook subscription that confirms them. The matter's own fields and its contacts are never modified.

Where are the tokens kept?

Server-side, encrypted, against the connected account, and never in the browser. Disconnecting deletes them.

Can I use Notaron without connecting Smokeball at all?

Yes, and most firms do. Nothing about the notarization requires the connector — it can be done from the website today, for the same price.

What does it cost?

There is no charge for connecting, no subscription and no per-seat fee — you pay when a notarization completes and not otherwise. Sessions are $25 for one signer and one notarization, with additional signers, seals and witnesses priced per item. Because the fee posts to the matter as a billable entry, it is a cost the firm can pass through rather than absorb.

Who pays — the firm or the client?

Your choice, per request. A firm can pay on its own card and rebill the client from the entry posted to the matter, or send the signer to pay directly before the session. The entry is only posted when the firm paid, because a firm that paid nothing has nothing to pass on.

Will the notarized document be accepted by the court or county we file with?

Online notarization is accepted in most situations across all 50 states, but requirements can vary. We recommend confirming with the receiving party before your session. Notaron provides the notarization itself with a commissioned notary, identity verification, a recorded session, and a tamper-evident sealed PDF with its audit trail.

Smokeball is a trademark of its owner. Notaron is an independent third-party provider and an approved Smokeball vendor.
